Abstract

The growing application of digital technologies has brought significant changes in the manner in which international trade documentation is prepared, transmitted, verified and processed. Foreign trade traditionally involves extensive documentation and coordination among exporters, importers, customs authorities, banks, logistics providers and other regulatory institutions. Dependence on paper-based documentation can contribute to delays, repetitive verification, higher transaction costs, documentary errors and limited information visibility. Digitalisation offers an alternative through electronic documentation, Electronic Data Interchange (EDI), customs automation, single-window systems, blockchain, electronic signatures and other technology-enabled mechanisms. The present paper reviews the role of digitalisation in improving the efficiency and transparency of foreign trade documentation, with particular reference to India. It is based exclusively on selected studies contained in the literature reviewed for the underlying research and adopts a thematic and descriptive review approach. The review indicates that digitalisation can improve operational efficiency by reducing processing time, transaction costs, physical documentation, duplication and human intervention while improving accuracy, coordination and customs clearance. Digital systems can also strengthen transparency through improved information visibility, traceability, auditability, real-time information sharing and accountability. India has progressively adopted mechanisms such as DGFT e-governance systems, ICEGATE, SWIFT and sector-specific platforms such as Grapenet. However, the benefits of digitalisation remain uneven because of infrastructural disparities, inadequate digital skills, cybersecurity concerns, interoperability problems, legal and regulatory uncertainty and differences in technological readiness, particularly among MSMEs and stakeholders located outside technologically advanced trade centres. The review suggests that the effectiveness of digitalisation depends not merely upon introducing technology but upon the simultaneous development of infrastructure, institutional coordination, stakeholder capabilities, cybersecurity safeguards and supportive regulatory arrangements. The paper concludes that digitalisation has considerable potential to make foreign trade documentation in India more efficient, transparent and integrated, but an inclusive and coordinated approach is required to realise these benefits across different stakeholder groups and regions.
